Getting started guide
How to record your first visit
Getting started
-
Open VisitNotes and tap the Capture tab at the bottom of the screen. Tap 'Start my recording' before your appointment begins. The app transcribes everything on your iPhone — nothing is uploaded. When the visit ends, tap stop and your plain-English summary arrives within about 30 seconds.
-
The free plan includes 2 visit summaries per calendar month, 2 people profiles, and recordings up to 30 minutes. There's no credit card required and no trial period — just download and use it.
-
Tap the '+' circle on the avatar row at the top of the Home screen. You can create a profile for any family member whose visits you want to track. The Family plan (included automatically, or unlockable with a subscription) supports up to 5 recording adults and unlimited profiles.
-
Yes — and this is by design. The audio transcription happens entirely on your iPhone using Apple's on-device speech technology, so no internet connection is needed to transcribe. A connection is only needed to generate the plain-English summary after the visit ends.
Recordings & summaries
-
Summary quality depends on transcription quality. The most common causes of incomplete summaries are: the phone being too far from the speakers, being muffled in a bag or pocket, or a very fast-moving conversation. Try placing the phone on the exam table during future visits. If a summary is significantly wrong, contact us and we'll look into it.
-
Yes. From the Capture tab you can Type notes (manual text entry) instead of using the microphone. You can write out what you remember from a visit and VisitNotes will generate a summary from your notes.
-
The free plan supports recordings up to 30 minutes. Individual and Family plans extend this to 2 hours per visit. Most appointments are well within 30 minutes, but longer specialist consultations or hospital discharge conversations often benefit from the extended limit.
-
Audio is stored only on your iPhone, protected by iOS file encryption. It is never uploaded to our servers or to any third party. You can delete a recording at any time from within the app. Deleting your account removes all recordings immediately.
Privacy & data
-
Only the text transcript of your visit is transmitted — to generate your summary via Anthropic's AI API, under a signed agreement that prohibits use of your data for model training or any other purpose. Audio never leaves your device. Your data is never sold and never used for advertising. For the full breakdown, see our Privacy Policy.
-
No. VisitNotes is not connected to any insurance provider, employer wellness program, or electronic health record system. What you record in VisitNotes stays between you and the people you explicitly choose to share it with.
-
Go to Settings → Account → Delete Account. This permanently deletes all of your data — transcripts, summaries, notes, medications, profiles, and photos — within 30 days. Audio recordings on your device are deleted immediately when you confirm.
-
You have the right to access, delete, and withdraw consent for your consumer health data. You can exercise these rights directly in the app or by emailing privacy@visitnotes.app. See our Consumer Health Data Privacy Policy for the full details.
Account & billing
-
Open VisitNotes and go to Settings → Subscription, or tap 'Upgrade' when you reach your free plan limit. Subscriptions are purchased through Apple's App Store using your existing Apple ID — no separate payment information needed.
-
Subscriptions are managed by Apple, not VisitNotes. To cancel: on your iPhone go to Settings → [Your name] → Subscriptions → VisitNotes → Cancel Subscription. You'll keep paid access until the end of your current billing period. Your data is not deleted when you cancel.
-
This is usually a sync issue between Apple's servers and the app. Try: Settings → Subscription → Restore Purchases. If the issue persists after a minute or two, email support@visitnotes.app with your Apple ID (not your password) and we'll resolve it manually.
-
Refunds for App Store purchases are handled by Apple, not by us. You can request a refund at reportaproblem.apple.com. We have no ability to issue refunds directly.
Sharing & care circle
-
Open the visit summary and tap 'Share with family.' You can send it directly to a care circle member or export it via Messages, email, or any other app on your iPhone. Individual and Family plan subscribers can add members to a shared care circle so sharing is one tap.
-
No. Members only see visits you explicitly share with them. Sharing is per-visit and per-person — you stay in full control of what's visible to whom.
-
Go to the Sharing tab, find the person, and tap Remove. They will immediately lose access to any visits you had shared with them going forward.
